Digital Signage Submission Guidelines
Student Centers offers digital signage in the Healey Family Student Center and Leavey Center to help University Departments and registered Student Organizations promote on-campus events and initiatives. These TV screens are prominently featured in lobbies and elevator bays.
Key Requirements:
Submission Form: Use the Digital Marketing Submission Form to submit your request.
Sponsorship Info: Include the name and contact details of the sponsoring University Department or Access-to-Benefits Student Organization. Unaffiliated, external, or non-access organizations are not permitted to advertise without the explicit permission of Student Centers and any other affiliated bodies (e.g., Auxiliary Business Services & Real Estate, Office of Public Affairs, Center for Social Justice). External content must be of direct, positive benefit to the Georgetown community (e.g., restaurant discounts, free concert tickets).
Event Details: Include the correct event date, time, and location. Events must be scheduled and confirmed before submission.
Process for Submission of Events for Display
- Event Confirmation:
- On-campus events: Ensure the event space is confirmed by the appropriate scheduling office before submitting your ad.
- Off-campus events: Provide contact info for a sponsoring University Department or Student Oganization administrator.
- Create Your Advertisement:
- Design a landscape (horizontal) digital flyer still image or short video.
- Digital Signage is a visual marketing medium; there cannot be sound.
- Submit each digital flyer separately.
- Approval & Display:
- Approved materials will rotate on campus displays, appearing for 15 seconds per cycle.
- Ads run for 14 days unless otherwise specified.
- Edits:
- For changes to an active ad, please submit the new ad and email studentcenters@georgetown.edu to remove the outdated ad.
Display Guidelines
- Still Image Ads appear for 15 seconds each.
- Video submissions can be no longer than 30 seconds in length unless granted an exception.
- Messages are limited to 14 consecutive days unless granted an exception.
- Content is prioritized as follows:
- High Priority: University-wide administrative information.
- Events open to all on-campus, sponsored by departments or student organizations.
- Events open to all off-campus, sponsored by departments or student organizations.
- General university-wide announcements.
- Promotions for businesses tied to Georgetown Dining Debit/Flex Dollars.
- Events targeting smaller, specific audiences.
Not Allowed:
- Weekly meeting announcements.
- Ads for off-campus businesses not affiliated with Georgetown University.
- Membership ads for exclusive groups.
Additional Notes
- Requests are reviewed within 4 business days, and you’ll be notified of denial or needed changes.
- Student Centers ensures compliance with Georgetown guidelines and reserves editing rights, including removal of ads at its discretion for content or brevity.
